What was built

  • The full labour-broker lifecycle in one application — job applications and interviews through background screening, contracting, scheduling, time capture, leave, disciplinary/HR case management, payroll and client invoicing.
  • Automated background-screening integration with MIE, an SMS gateway for staff and client communication, and WhatsApp Business API messaging for authentication.
  • Role- and permission-based access control applied consistently across the entire application, centrally managed rather than configured per screen.
  • A dedicated audit trail logging user actions, logins, document changes and compliance sign-offs against the identity of the person who performed them.
  • A biometric facial-recognition time-clock system with liveness verification, deployed at client sites.
  • Automatic generation of invoices, payslips, reference checks and disciplinary records straight from live operational data.
The system has been in production use since 1 November 2025 and is not a peripheral tool: it is the single system our recruitment, workforce management, payroll, compliance, and client billing functions run on, used daily by staff across our organisation and by our site managers … On the basis of our multi-year working relationship, we recommend Agile Automate (Pty) Ltd without reservation.

Falcon Gas (Pty) Ltd distributes gas across multiple depots and delivery channels in South Africa. Agile Automate has been their technology partner for the design, development and ongoing support of a fully integrated, custom-built operational management system that now underpins the majority of their day-to-day business.

What was built

  • End-to-end order management — from order placement and pricing through to dispatch, delivery and invoicing, across multiple depots and delivery channels.
  • Real-time inventory and stock control, including cylinder (full/empty) tracking, tank allocations, stock counts, and automated reconciliation between physical stock movements and financial postings.
  • Driver and fleet logistics tooling, including route optimisation, electronic trip sheets and vehicle allocation.
  • Electronic proof-of-delivery with on-glass digital signature capture, replacing a paper-based delivery confirmation process, with documents generated and dispatched automatically.
  • Direct, live API integration with Xero — automated invoice and credit note generation, payment reconciliation, chart-of-accounts mapping and COGS/journal postings.
  • Biometric facial-recognition staff attendance, WhatsApp customer communication, and management dashboards for sales, deliveries, outstanding balances and operational KPIs.
What has stood out to us throughout this engagement is Agile Automate's ability to take a genuinely complex, multi-system business process — spanning logistics, inventory, finance, and customer-facing communication — and deliver a single, coherent, well-integrated platform, while continuing to support, refine and extend that platform as our business requirements evolve.
